League Bylaws

Article I — Name

The name of this organization shall be the Rotonda Golf and Country Club Women’s 9-Hole League.

Article II — Membership

All women who are members in good standing of the Rotonda Golf and Country Club are eligible for membership in the League upon payment of annual dues. Annual dues shall be set by the Executive Committee with the approval of the membership.

Section 1– Dues are payable at the first meeting in January. A member more than one (1) month in arrears will be unable to participate in weekly tournaments. Dues will be pro-rated quarterly for new members joining after the first of the year: After 4/1–$25, after 7/1–$15, after 10/1–$10.

Section 2– Members of the 9-Hole League who withdraw from the League will not be entitled to a refund of the annual dues.

Section 3 – This is a non-smoking league during game times including invitationals.

Article III — Officers

The officers shall be President, First Vice-President, Second Vice-President, Secretary, and Treasurer, who will serve for a term of one calendar year beginning with the January meeting.

Article IV — Election of Officers

Section 1– A slate of officers shall be presented by the Nominating Committee at the November meeting. Additional nominations may be made from the floor at this meeting.

Section 2– At the close of nominations, officers shall be elected by a majority of members present.

Article V — Executive Committee

The five (5) officers shall serve as the Executive Committee, which shall be the governing body of the League. It shall oversee and approve the schedule of events, rules and regulations for tournaments and reports of committees. Each member of the Executive Committee shall be given a copy of the current By-Laws and any paper work accumulated in the prior term(s) of office relevant to that office.

Section 1– President: The President shall be the principal executive officer of the League and shall call and preside at all the meetings of the membership and the Executive Committee. She shall appoint chairwomen of standing committees and any temporary chairwomen as needed. She shall be an ex-officio member of all committees and notified in writing of all anticipated committee meetings.

Section 2– First-Vice President: The First Vice-President shall be the chairwoman of the Tournaments Committee and shall perform any other duties assigned by the President. She shall act as principal executive officer in the absence of the President.

Section 3– Second-Vice President: The Second-Vice President shall be in charge of food arrangements for meeting days and perform any other duties assigned by the President. She will act as principal executive officer in the absence of the President and First Vice-President.

Section 4– Secretary: The Secretary shall be responsible for the notices on the bulletin board at the Club House, the minutes of all meetings, and all correspondence.

Section 5– Treasurer: The Treasurer shall work with the President to prepare the annual budget which shall be approved by the Executive Committee. She shall collect all dues and fees, pay bills, manage the bank account, and make a report at all meetings. The retiring Treasurer shall deliver to the new Treasurer all books, records, and reports of the League. The new Treasurer shall notify the bank that she and the newly elected President have been authorized to transact business of the League with the bank.

Article VI — Vacancies

Any vacancy occurring on the Executive Committee shall be filled for the unexpired term by appointment of the Executive Committee. In case of a vacancy in the office of President, the First Vice-President shall assume this position.

Article VII — Committees

Section 1– Tournaments: The First Vice-President and her committee, with the approval of the Executive Committee, shall plan a schedule of weekly events. The chairwoman and the committee shall work with the Executive Committee in planning any other golf events throughout the year, such as the Invitational, and shall appoint such members as necessary to carry out these plans.

Section 2– Nominating: The chairwoman and two (2) other members appointed by the President shall present a slate of officers to the members at the November meeting.

Article VIII — Meetings

Robert’s Rules of Order, as revised from time to time, shall be the parliamentary authority for meetings, and all matters of procedure not specifically covered in these By-Laws.

Section 1– Opening Meeting: The Opening Meeting shall be held in January. The newly elected officers and appointees shall conduct all business.

Section 2– Annual Meeting: The Annual Meeting shall be held at the end of the year at a time and place arranged by the Executive Committee for the purpose of awarding any and all prizes and conducting any other business.

Section 3– Executive Committee Meetings: The President shall call meetings of the Executive Committee.

Section 4– Standing Committee Meetings: The Chairwoman of each Standing Committee shall call meetings when necessary.

Article IX — Competition

Section 1-Weekly Events: The Tournament Committee shall be responsible for selecting and presenting prizes for weekly games and for any special events for which prizes are awarded. No prizes will be awarded if the game has been canceled by a member of the Board.

Section 2-Eligibility to Compete: All new members must post at least three (3) nine hole scores and thereby establish a handicap before competing in any event (to be eligible for any prize money) [unless there is an established handicap in the GHIN system. Then the GHIN handicap from another course/state, may be used until at least three scores are completed at any Rotonda course within the mandated time frame.] Members who have established handicaps in one (1) season will carry over these to the next season. Those who have a verified handicap from another club may use that handicap for no longer than one (1) month until a new one is established or they may use scores from play on Rotonda courses. Those scores should be turned in to the person responsible for posting scores for the League.

Section 3-Guests: When accompanied by a member, guests may be invited to play in regularly scheduled events (unless it would interfere with the pairings for an event) upon payment of greens fees in accordance with Rotonda Golf and Country Club rules. They may not, however, compete for weekly prizes.

Article X — Disclaimer

This League shall be a not-for-profit organization, formed solely for the social benefit of its members. It and its officers shall not be liable to any member or to any other organization. Any person applying and being accepted as a member of this League, thereby waives any claim for damage or other liability resulting from operation of the League before or after becoming a member.

Article XI — Amendments

Amendments to and/or repeal of revision of any of the By-Laws of the League shall be presented to the members at a Regular Meeting and shall require two-thirds (2/3) vote of the members at said meeting for acceptance.
